OIC recently informed agencies of changes to external review processes requiring actions by all agencies, specifically with reference to a new online external review application form and the adoption of OIC’s Agency Portal to securely share information between OIC and agencies.
OIC’s Online application form
To embed use of the online external review application form and ensure the provision of updated Information Commissioner contact details, we ask agencies to review and update decision template letters to include the following advice:

OIC’s Agency Portal
The OIC Agency Portal helps agencies interact with us—you can report data breaches, exchange documents and access privacy complaint records relating to your agency.
When we contact an agency with a preliminary inquiry regarding a new external review application, we will ask you to:
- combine the documents, in chronological date order, in a single PDF
- upload the single PDF to the OIC Agency Portal.
If the OIC decides to accept the external review application, we will ask you to upload the information in issue to the OIC Agency Portal.
